What we collect

What we receive depends on how you contact us and what you choose to tell us. It may include:

  • your name and contact details
  • the project or property postcode
  • information about a property, a building or a proposed job
  • messages, correspondence and call notes
  • photographs or files you choose to send
  • what we need to prepare, deliver or administer the work if you become a customer
  • technical, device and consent information created when you use the website, where the live website is set up to collect it

Where it comes from

Most of it comes straight from you, when you fill in a form, call, email or use WhatsApp. We may also hear from someone acting for a property, a commercial customer, a contractor, a referrer or another person involved in the proposed work.

The website may create limited technical information through the functions it needs to work. Optional analytics or advertising information is collected only where the final website uses those tools and your choice allows it.

Send only what the enquiry needs

Please send only information that is relevant to your enquiry. If a photograph or a document shows information about another person, make sure you are entitled to share it.

Why we use it

We use personal information to:

  • answer enquiries and understand the work being considered
  • take the steps you ask for before entering into a contract
  • prepare quotations, and plan, deliver and administer agreed work
  • speak to customers, suppliers, contractors and professional contacts
  • keep the website and our business systems secure, reliable and working
  • meet legal, regulatory, tax, accounting or insurance obligations
  • understand how the website and our campaigns perform, where optional technology has been switched on with the permission it needs

Our lawful reasons

The lawful reason depends on what we are doing.

  • Steps before a contract, and performing one: to discuss the work you have asked about, prepare a quotation and deliver an agreed service.
  • Legitimate interests: to answer business enquiries, keep proper records, run the website securely and manage our services, where those interests are not overridden by your rights.
  • Legal obligation: where we have to keep or disclose information to comply with the law.
  • Consent: where we ask you to choose, such as optional cookies or marketing. You can withdraw consent at any time.

Who we share it with

We share personal information only where it is reasonably needed for the purpose described above. That may include:

  • the people at Heritage handling your enquiry or the work
  • trusted trades, suppliers or contractors who need relevant information to assess or deliver a job
  • website, email, hosting, storage, security and other technology suppliers
  • accountants, insurers, legal advisers and other professional advisers
  • regulators, courts, law-enforcement bodies or public authorities, where disclosure is required or permitted by law
  • a finance provider, where you choose to use its service or ask us to make an introduction

Processing outside the UK

Some of the suppliers that run the website handle information outside the UK. The website is hosted by Vercel on servers in the United States, and your enquiry is emailed to us through Resend, from servers in Ireland, with a backup email service used only if Resend is unavailable. Your browser also fetches the website's typefaces from Google and its photographs from Sanity, so they receive your IP address. Where information leaves the UK, it is protected by UK adequacy regulations or by the supplier's data processing terms, which include the safeguards UK law requires. We will not add a supplier until we have checked how it handles information and updated this policy.

External websites and finance services have their own privacy information. Read it before you give them personal information.

How long we keep it

We keep personal information only for as long as it is reasonably needed for the purpose it was collected for. An enquiry that does not become a project is kept for 24 months, then deleted or anonymised.

Where a contact becomes a customer project, or where information has to be kept for legal, tax, accounting, insurance or dispute reasons, we keep it for as long as that purpose requires. Anything no longer needed is deleted or anonymised.

How we protect it

We use organisational and technical measures intended to protect personal information from unauthorised access, loss, misuse or disclosure, and to limit access to the people who need it for their work.

No online service can promise complete security. Please avoid sending sensitive information you have not been asked for through a website form or a message.

Your rights

Depending on the circumstances and the lawful reason we are relying on, you may have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete information
  • ask us to restrict how information is used
  • receive certain information in a portable format
  • withdraw consent, where we are relying on consent
  • object to certain uses of your information

Automated decisions

We do not intend to use the website enquiry process to make solely automated decisions with a legal or similarly significant effect on you. A separate finance provider may carry out its own assessment, under its own terms and privacy notice.
